Don't forget that you have many options when arranging for places to stay in Mayagüez. The obvious thing is to book hotel or motel rooms, but you may not be aware that you can also book villas or rent apartments for short periods.
The resort area of Mayagüez is called "Rincon". There are many villas there that rent by the week. Some are even water-front villas along the beach. For example, during the 2009 IARC, the IARC Judges and Staff rented two villas at a combined price that saved the group around $1,200 over what they would have paid had they stayed in one of the Mayagüez hotels for the same period.

You also have the option staying farther away from the University of Puerto Rico - Mayagüez where rent may be cheaper or more options available.
Consider getting an apartment or villa with a kitchen and preparing your own food rather than eating at restaurants every night. This could save hundreds of dollars for your team.
